The deal between you and Callback HQ.

Effective 2026-06-03. Callback HQ, LLC (“Callback HQ,” “we,” “us”). By creating an account or using the service, you agree to these terms.

The short version

Callback HQ helps home-inspection companies respond to homeowner guarantee-claim callbacks. We draft replies with AI; you review and approve every reply before it's sent. You're responsible for what goes out under your name. We bill per inspector. Either side can end the relationship.

Who can use it

You must be at least 18 and authorized to act for your inspection business. By accepting, you confirm the information you provide is accurate and that you'll keep your account credentials secure. You're responsible for activity under your workspace, including team members and inspectors you invite.

What the service does — and what it doesn't

Callback HQ matches each homeowner callback to the relevant inspection report, analyzes it against your uploaded agreement and Standards of Practice, and drafts a suggested reply. The analysis and draft are decision-support tools, not legal advice and not a substitute for your professional judgment.

You are solely responsible for reviewing, editing, and approving every reply before it is sent. Auto-send, where you enable it, only releases a reply after a countdown you can cancel, and only above a confidence threshold you set — but enabling it is your choice and the content remains your responsibility. We don't guarantee that any analysis, verdict, dollar figure, or citation is accurate or complete.

Your content and data

You retain all rights to the documents, reports, claims, and communications you put into Callback HQ(“Your Content”). You grant us a limited license to process Your Content solely to provide the service — matching reports, generating drafts, sending email on your behalf, and the related operations described in our Privacy Policy. We don't use Your Content to train external AI models. You represent that you have the right to upload Your Content and to connect the Google Drive folder you select.

Acceptable use

You agree not to:

  • Use the service to send unlawful, harassing, deceptive, or defamatory communications.
  • Misrepresent who you are or send replies on behalf of a business you're not authorized to represent.
  • Upload malware, attempt to breach security or access another tenant's data, or probe, scan, or load-test the service without our written consent.
  • Resell, sublicense, or white-label the service without a separate written agreement.
  • Use the service to violate the CAN-SPAM Act, TCPA, or any applicable communications or consumer-protection law.

We may suspend or terminate a workspace that violates these rules, with or without notice where the violation is serious.

Email sending

When you configure a reply-from address, you authorize us to send email on your behalf from your domain via our email provider. You're responsible for the accuracy of the DNS records you add and for ensuring you have the right to send from that domain. You remain the sender of record for every message and are responsible for compliance with anti-spam law.

Billing, trials, and cancellation

  • Pricing is per inspector, billed monthly or annually through our payment processor (Stripe). Current rates are shown on the pricing page.
  • New accounts include a 14-day trial. A payment method is required to start; you won't be charged if you cancel before the trial ends.
  • Subscriptions renew automatically until canceled. You can cancel any time from Settings → Billing; access continues through the end of the period you've paid for.
  • Fees are non-refundable except where required by law. We may change pricing with at least 30 days' notice to account owners; changes apply at your next renewal.

Third-party services

The service relies on third parties (Google Drive, Stripe, Anthropic, OpenAI, our email provider). Your use of features that depend on them is also subject to their terms, and we're not responsible for their acts or outages. If a provider changes or discontinues access, some features may change.

Disclaimers

The service is provided “as is” and “as available.” To the fullest extent permitted by law, we disclaim all warranties, express or implied, including merchantability, fitness for a particular purpose, and non-infringement. We do not warrant that AI-generated drafts or analyses are accurate, complete, or suitable, that the service will be uninterrupted or error-free, or that defects will be corrected. Decisions you make based on the service — including any reply you send to a homeowner — are your own.

Limitation of liability

To the fullest extent permitted by law, Callback HQ, LLC and its officers, employees, and suppliers will not be liable for any indirect, incidental, special, consequential, or punitive damages, or for lost profits, revenues, data, or goodwill, arising out of or related to your use of the service. Our total liability for any claim relating to the service will not exceed the amount you paid us in the twelve months before the event giving rise to the claim.

Indemnification

You agree to indemnify and hold Callback HQ, LLC harmless from claims, damages, and expenses (including reasonable legal fees) arising from Your Content, the replies you send, your violation of these terms, or your violation of any law or third-party right.

Termination

You can stop using the service and cancel at any time. We may suspend or terminate your access if you breach these terms, if required by law, or if continuing to provide the service becomes commercially impracticable. On termination, your right to use the service ends; data handling follows our Privacy Policy.

Changes to these terms

We may update these terms. For material changes we'll notify account owners by email and update the effective date above. Continuing to use the service after a change takes effect means you accept the revised terms.

Governing law

These terms are governed by the laws of the State of California, without regard to its conflict-of-laws rules. Any dispute will be brought in the state or federal courts located in California.
