Getting Started

Account setup, plan selection, and the onboarding checklist.

Callback HQ takes about ten minutes to set up. Create your account, pick a plan, and walk through a short onboarding checklist — then you’re ready to receive your first claim.

Creating an account

Sign up with your work email and a password. You’ll receive a confirmation email — click the link to verify your address and land in the app for the first time. The onboarding checklist opens automatically.

Selecting a plan

Every new account starts with a 14-day free trial. A payment card is required at signup, but you won’t be charged until the trial ends.

Pricing is per inspector seat. The more inspectors you add, the lower your per-seat cost:

Monthly billing

  • 1 – 25 seats: $4.99 per seat / month
  • 26+ seats: $3.99 per seat / month

Annual billing

  • 1 – 25 seats: $49.90 per seat / year
  • 26+ seats: $39.90 per seat / year
Annual plans save roughly two months compared to monthly billing. You can switch between monthly and annual at any time from the Billing page.

Your welcome email

As soon as your trial starts, a welcome email from hello@callback-hq.com arrives with three links to get you going: finish onboarding, embed the intake form, and open the inbox to see the sample claim we seeded for you.

It also has a Book a 15-minute onboarding call button. Pick a time and a real person walks through the setup with you — connecting your Drive folder, tagging your agreements, switching on the services you offer, and sending a test claim through. Most companies are fully set up by the end of the call.

  • Replying to the welcome email reaches our support inbox directly, so ask anything there.
  • Our team is also notified when your trial begins, so you may hear from us with the same offer if you haven’t booked.

The onboarding checklist

After you sign up, the app walks you through six setup steps. A progress bar at the top shows how many you’ve completed. Once you finish four or more steps, an “I’m done” button appears so you can exit onboarding and start using the app.

  1. Workspace & branding — Paste your company’s website URL. Callback HQ pulls your logo and accent color automatically so the homeowner-facing intake form matches your brand.
  2. Connect inspection reports — Link a Google Drive folder where your inspection reports are stored. Callback HQ monitors this folder and automatically matches incoming claims to the right report.
  3. Upload inspection agreements — Upload one agreement per service line you offer (home, sewer scope, mold, fire hardening, commercial). The AI uses your agreement language when analyzing claims. Afterwards, switch on the services you offer under Settings > Services and tag each agreement with its service on Settings > Documents.
  4. Upload Standards of Practice — Choose from built-in presets — InterNACHI 2021, TREC, ASHI, or CAHPI — or upload a custom Standards of Practice document.
  5. Invite your inspectors — Add each inspector’s name to the roster. These names appear in the intake form dropdown so homeowners can identify who performed their inspection.
  6. Get embed code — Copy the intake form snippet and paste it into your website’s HTML. This is the form homeowners use to submit complaints. See Intake Form & Widget for details.

Revisiting onboarding

You can return to the onboarding checklist at any time from Settings. Any steps you already completed stay checked off.
